An Accounting Assistant, or Accounts Assistant, is responsible for providing support to the accounting team. They deal with clerical and administrative tasks such as answering and directing phone calls, filing, typing letters, processing incoming mail and data entry.

Accounting Assistants can have a variety of duties depending on the size of the business and the sector in which they are working. However, their duties typically include:

  • Checking incoming and outgoing payments for accuracy
  • Compiling reports on sales, expenditure, marketing and other accounting activity for senior management 
  • Managing incoming post and ensuring that queries are allocated to the correct department
  • Dealing with incoming invoices
  • Reconciling accounting data to ensure accuracy
  • Creating and maintaining spreadsheets 
  • Using accounting software

What does an Accounting Assistant do?

Accounting Assistants typically work within organisations as part of the accounts team or finance department. Accounting Assistants work closely with senior members of their team, taking on the administrative tasks associated with accounting in order to enable the smooth running of the team. They also deal with customers, clients or suppliers, answering calls and responding to enquiries as required. 

Some Accounting Assistants deal with basic accounting tasks such as preparing reports and spreadsheets, checking sales ledgers for accuracy and recording petty cash transactions.

Effective Accounting Assistants are computer literate and have excellent organisational skills. They need to be able to take on a wide range of tasks in order to provide effective support to the management team. A successful Accounting Assistant candidate will have various prerequisite skills and qualifications that typically include:

  • A thorough approach to tackling problems and the ability to work methodically
  • Time management and the ability to prioritise their workload and meet deadlines

 Accounting Assistant experience requirements

There are no specific experience requirements for Accounting Assistants, but employers usually require one to two years in a similar role with administrative or accounting responsibilities. An applicant that has an apprenticeship and on-the-job training  with experience of performing some of the most common tasks for the role can also apply. Experience of using accounting or bookkeeping software is a bonus, as is any previous work in a support role in an  administrative position. 

 Accounting Assistant education and training requirements

Accounting assistants need to have five GCSEs, including maths, or equivalent qualifications. This may be enough for many entry level roles. A-levels and a degree are not necessary for all roles, but some more senior positions may require some further education. Relevant qualifications are a bonus, such as a City and Guilds Level One or Two in Bookkeeping or Association of Accounting Technicians (AAT) qualifications in Accounting. Certifications in any aspect of business or finance can be a bonus. The Association of Chartered Certified Accountants (ACCA) offers qualifications in a variety of accountancy-based topics, such as digital innovation for finance, public sector accounting standards and industry-specific courses.

According to Indeed Salaries, the average salary for an Accounting Assistant is  £25,567 per year , but this depends on the industry or sector, the area of the country and the level of seniority required for the role.
